About TotalPass
TotalPass is a corporate wellness company founded in Brazil in 2017. Its goal is simple: make physical activity easier to access inside companies and turn employee wellbeing into something that actually supports the business. Through its platform, companies can give employees access to gyms, studios, sports centres, pools, climbing spaces, and wellness locations through one subscription and one app. Today, TotalPass works across several markets. In Mexico, it connects users with more than 2,800 fitness and sports locations across the country. Basically, it helps people move more without making HR build a tiny gym in the office cupboard.
TotalPass also helps companies measure engagement and wellbeing through internal programmes and indicators tied to workplace culture. As the business grew, the team saw that the same digital and simple experience they offered customers needed to show up inside the company too. Payroll and Human Resources became an area to improve. The team wanted fewer manual steps, less dependence on outside providers, and a process that did not feel like doing squats with a backpack full of bricks.
What challenges were they facing in payroll administration and calculation?
Before Runa, TotalPass worked with an outsourcing provider for payroll. The provider handled the usual tasks, but the setup was not flexible enough for a growing company. Anything outside the standard process, like extra vacation days, special changes, or custom payroll needs, could create delays and admin friction. Payroll tasks tied to SUA and IDSE also needed manual work from the internal team, which added more load and made everything slower.
Stamping and payment disbursement also required extra coordination. Payroll was getting done, yes, but the process had too many steps and not enough automation. As TotalPass grew, this became harder to ignore. Time that could have gone into better Human Resources work was being used on repeated admin tasks. Fernanda Ramos explains that the company needed a complete solution, not just something that processed payroll and then waved goodbye. They needed a tool that actually made the whole operation easier.
How has Runa impacted their operation and efficiency?
Runa changed the way TotalPass manages payroll and Human Resources. Calculations, mass stamping, and payments now happen in one platform, so the team no longer has to coordinate across different systems and providers. Bulk incident uploads made salary changes and payroll variations easier to manage. Mass stamping reduced admin work too. Payroll cycles became faster, clearer, and much easier to control. No more payroll obstacle course with a tiny clipboard at every turn.
The Human Resources team also gained better visibility into payroll information and internal processes. They can access accurate, real time data for planning, reports, and decisions. Having everything in one place reduced complexity and made the workflow more structured. The implementation came with guidance and responsive support, which helped the team adopt the platform without making the process feel heavy. As Fernanda Ramos says, “With Runa, we manage the entire payroll process in one platform, from calculation to stamping, and that has allowed us to save time and have much clearer control over our processes.” What used to feel fragmented became a cleaner process that supports growth.
What do they value most about Runa?
One of the things TotalPass values most is the autonomy Runa gives employees and admins. Employees can now access payroll receipts and personal documents directly in the platform, without asking Human Resources for every routine request. That self service feature reduced repeated questions and gave the HR team more time for work tied to engagement, culture, and wellbeing. It also made the employee experience clearer and easier, which matters a lot for a company built around helping people feel and perform better.
For TotalPass, a smooth internal experience is not a small detail. It connects directly with the company’s mission. Fernanda Ramos puts it clearly: “Today, our employees can easily access their information, and we can manage the entire payroll process in one place; that saves us time and gives us tremendous operational peace of mind.” By digitalizing payroll and Human Resources, TotalPass brought its internal operation closer to the same ideas behind its product: easier access, better efficiency, and processes that help people do their best work without wrestling admin like it is a treadmill stuck on high speed.
